Marketplace catalogue management: a practical workflow

A strong marketplace listing starts before the listing screen — with one reliable source of product information.

When the same product appears on several marketplaces, catalogue errors multiply quickly. One channel may need different title rules, another may require additional attributes, and a third may use different image dimensions. The solution is not to maintain completely separate product knowledge in every marketplace.

Create a master product record

Maintain one core record for information that should stay true everywhere: SKU, product name, materials, finish, dimensions, closure, colour, key features, care notes and verified commercial details. Channel-specific copy can then be created from that source.

Separate facts from marketing copy

A material, size or closure is a product fact. A marketplace title or promotional description is channel copy. Keeping them separate reduces the risk that a copy edit accidentally changes the underlying product specification.

Define image roles

Instead of naming images only by sequence, define their job: hero, detail, scale, model, back/closure, lifestyle or packaging. That makes it easier to adapt an image set to different marketplace requirements.

Map channel-specific fields

Create a simple mapping for title length, description structure, attributes, tags/keywords, image size, variation fields and required policy information. The master catalogue stays stable while the channel layer changes.

Control unverified information

Do not guess dimensions, weights, stock, wholesale quantities or commercial terms. Use an approved placeholder such as “available on request” where the channel allows it, or verify the information before publishing.

Review the catalogue as an operation

Catalogue quality is not a one-time upload. New images, pricing changes, platform rules, returns and customer questions reveal information that should feed back into the master product record.
